The HR Licensing Specialist will be responsible for managing and coordinating  the HR occupational licensing process. This will involve working with the Compliance team and Team Members to communicate and gather occupational licensing applications and supporting documentation, for new applications or renewals. This role will typically work four days in our Cherry Hill, NJ office and one day in our Philadelphia, PA office each week, depending on needs.


  • Partner with Compliance and the HR teams to organize the collection of existing and new team member applications, and all appropriate documentation to secure licenses as required by regulators for various states
  • Become a Subject Matter Expert on all occupational licensing requirements for each jurisdiction and resolve any potential issues or concerns
  • Provide administrative support and field questions from team members on all state occupational licensing processes
  • Ensure timeliness, completion and accuracy of team member occupational licensing application submissions and reporting
  • Correspond with team members to review application submissions and collect any outstanding information or documentation
  • Responsible for communications as it related to initial licensing, renewal process, and licensing approvals
  • Effectively manage the renewal process with Team Members to meet deadlines as required
  • Review and notarize applications, preparing them for Compliance review
  • Create, update and maintain spreadsheets associated with licensing statuses
  • Organize fingerprinting appointment codes and communications; work with 3rd party vendors as needed
  • Upload documents to appropriate files and update data in HRIS system
  • Maintain organized files for all license filings, related documentation/information and fingerprints

Qualification Requirements:

  • 2 years of experience in Licensing, Compliance or HR
  • Extreme organizational skills
  • Demonstrable skills in the Microsoft Office Suite; particularly: Gsuite, Excel, and Adobe Acrobat
  • Must have strong written and verbal communication skills
  • Be able to work independently and be team oriented
  • Superb attention to detail
  • Be a notary or willing to become a notary public
  • Deadline driven
  • Maintain confidentiality
  • Ability to commute to both Philadelphia and Cherry Hill office locations

Gaming License:

  • Position may require licensing in applicable states that PI operates. If so, you must qualify for licenses and permits required by federal, state and local regulations.
