Description Summary The Office of the Dean for the Perelman School
of Medicine seeks an experienced and highly skilled Executive
Assistant to support the Dean, serving as the main and first point
of contact for all communications to the Office. This role is
primarily responsible for providing high-level administrative
support and plays a central and critical role in ensuring the
smooth and efficient functioning of the EVP-Dean's schedule. Manage
short- and long-term and often complex calendar planning and
coordinate among the executive assistants of the school/center
and University leadership teams and others. Troubleshoot and
resolve scheduling conflicts and communicate final schedule to the
EVP-Dean. Compile background materials for meetings. Handle
sensitive and confidential information. Job Description Job
Responsibilities
- Manage and maintain schedules, often with complex
requests.
- Make travel arrangements for the EVP-Dean (including expense
reimbursements).
- Plan, execute, and support special events as needed and
requested by the Dean.
- Prepare invoices, reports, memos, letters, financial
statements, and other documents, using Microsoft Office Suite and
databases.
- Coordinate and direct office services, such as records,
departmental finances, budget preparation, personnel issues, and
floor activities (such as supplies, housekeeping).
- Answer phone calls and direct calls to appropriate parties or
take messages.
- Manage external communications (President's Office PennBox,
Patient Facilitated Services).
- Other duties and responsibilities as assigned Qualifications
- Bachelor of Science and 5 to 7 years of experience or
equivalent combination of education and experience is required, 10+

Range $61,046.00 - $100,000.00 Annual Rate Salary offers are made
based on the candidate's qualifications, experience, skills, and
education as they directly relate to the requirements of the
